Segment lengths are your plan; the defaults are starting points, not an expert standard. Leave a few spare minutes because children and parents arrive and leave at different times.

Kids Party Timeline Planner: the short answer

Add up the length of each part, start from the guests-arrive time and count forward. A 2 hour party can fit 20 minutes of arrival, 35 of games, 25 of food, 20 of cake and 10 of goodbyes with 10 minutes spare.

Worked example

A 2:00 PM party that runs 120 minutes with 60 minutes of setup: setup starts at 1:00 PM. Arrival and free play 20 min (2:00 to 2:20), games 35 min (2:20 to 2:55), food 25 min (2:55 to 3:20), cake and singing 20 min (3:20 to 3:40), loot bags and goodbyes 10 min (3:40 to 3:50). Planned time is 110 minutes, so 10 minutes are spare before the 4:00 PM end.

How it works

Each segment starts when the one before ends, beginning at the party start time. Planned time = the sum of the segments. Spare time = party length - planned time; a negative number means the plan runs over. Setup start = party start - setup time. Times wrap past midnight and show in 12-hour format.

Segment lengths are your own plan. As a general habit, put food and cake near the middle so late arrivals do not miss them, and leave spare minutes at the end for pickup.

Sources and basis (opened 2026-10-08): Clock arithmetic on the times you enter. The segment lengths are planning defaults, not sourced figures.

FAQ

What is a good schedule for a 2 hour kids party?

One example is 20 minutes of arrival and free play, 35 minutes of games, 25 minutes of food, 20 minutes of cake and 10 minutes of goodbyes, leaving 10 spare. Change each length to suit your party.

When should I start setting up?

Enter the setup time you need and the planner subtracts it from the start time.

What if my plan runs over?

The result shows how many minutes over you are and the time the plan would end. Shorten a segment to fit.

Why leave spare minutes?

Late arrivals, bathroom breaks and cake-cutting often run long, so a small cushion keeps the end time.

Does it work for a party after midnight?

Times wrap past midnight and display correctly, though most kids parties end well before then.
