Party Food Per Guest Calculator: the short answer
Plan about 4 to 6 appetizer pieces per guest for a pre-dinner nibble or the first hour of a cocktail reception, and about 8 in the first hour when the finger food is the meal, then 4 for each extra hour (half the first-hour rate). These are rules of thumb, not a published standard.
Worked example
A cocktail reception for 30 adults and 10 children, 3 hours, 6 different dishes, children at half an adult and 10% extra. The rule gives 6 pieces in the first hour plus 3 for each later hour, so 6 + 3 + 3 = 12 pieces per adult and 6 per child. Adult-equivalent guests are 30 + 10 x 0.5 = 35, so 35 x 12 = 420 pieces, +10% = 462 pieces, or 77 of each of the 6 dishes.
How it works
Pieces per guest = first-hour rate + later-hour rate x (hours - 1). The rates are: appetizers before a sit-down dinner 4 then 2 per extra hour; cocktail reception with dinner later 6 then 3; party where the finger food is the meal 8 then 4. Under one hour the first-hour rate is scaled down by the fraction of an hour. Total = (adults + children x child portion) x pieces per guest x (1 + extra).
These rates are a common rule of thumb, not a published standard. Real appetite shifts with the time of day, whether dinner follows, and how filling the dishes are, so treat the answer as a starting point. Hot food and cold food are both safer when kept out of the temperature danger zone of 4 °C (40 °F) to 60 °C (140 °F), where bacteria can grow quickly.
Sources and basis (opened 2026-10-08): Safe food storage, Canada.ca (Health Canada), opened 2026-10-08, for the 4 °C to 60 °C temperature danger zone only. The pieces-per-guest rates are rules of thumb and carry no source.
FAQ
How many appetizers per person for a party?
A common rule of thumb is about 4 pieces each if dinner follows soon, and about 6 in the first hour of a cocktail reception, then 3 more for each extra hour. If the finger food is the whole meal, plan about 8 in the first hour and 4 for each hour after. This is a guideline, not a published standard.
How many pieces should I plan for kids?
The calculator counts a child as half an adult by default. Change that to a number from 0 to 1 if your children are very young or eat like adults.
How do I split the total between dishes?
Enter how many different dishes you plan. The total is divided evenly and rounded up, so with 462 pieces and 6 dishes you prepare 77 of each.
Why add an extra percentage?
Hosts rarely want to run out. The extra covers guests who eat more and leaves a little for latecomers. Set it to 0 for an exact figure.
Does this cover a full meal?
It covers appetizers and finger food. For pizza, barbecue or buffet meals use the dedicated calculators linked below.
