What the receipt generator produces
This tool turns a payment you actually received into a one-page PDF receipt. You fill in your business details, the customer, a receipt number and date, one line per item sold, a tax rate and an optional flat discount. Press Preview and the page builds a Letter-size PDF in your browser, with a RECEIPT heading, your business details on the right, a Customer block, the receipt number and date, an itemised table with Description, Qty, Price and Total columns, a totals block and any notes. Press Download to save it. The file is named after the receipt number, and the form defaults to REC-0001, so change the number for each sale.
It does not upload anything. The PDF is generated by a script on your device. If you reload the page the form resets, so download the PDF before you leave.
Filling in the lines
Each item goes on its own line as description | quantity | unit price. The form is pre-filled with "Coffee | 2 | 5.50" and "Sandwich | 1 | 12.00" so you can see the format. Quantities may be decimals. Do not type thousands separators: the page reads 1,200 as 1, so enter 1200.
Worked example
Take the sample lines: two coffees at 5.50 is 11.00, plus one sandwich at 12.00 gives a subtotal of 23.00. With the default 13 percent tax rate and no discount, tax is 2.99 (23.00 x 0.13 = 2.99) and the total is 25.99. If you give a flat 3.00 discount, the taxable amount drops to 20.00, tax is 2.60 and the total is 22.60. The discount is a currency amount, not a percentage, and tax is worked out after it is taken off.
Two defaults you should change
The notes box is pre-filled with "Payment due within 30 days. Thank you for your business." That wording belongs on an invoice, not a receipt, and it confuses customers who have already paid. Replace it with something like "Paid in full by Interac e-Transfer on 2026-10-19" or "Paid by Visa ending 4242". The page has no separate payment-method field, so the notes box is where the payment method and any reference number go.
The second is the tax rate. 13 percent is the Ontario HST rate that the Canada Revenue Agency lists as its example for Ontario, but the rate depends on the place of supply, and some goods are zero-rated or exempt. If you are not registered for GST/HST because you are under the small supplier threshold, set the rate to zero, since you have no registration number to show on the receipt.
What a receipt should show if the buyer wants to claim tax
The Input Tax Credit Information (GST/HST) Regulations set out what a business buyer needs on the supporting document to claim an input tax credit. The information depends on the total amount:
| Total on the document | Information the regulations require |
|---|---|
| Under $100 | Supplier name, date, total amount paid or payable |
| $100 to under $500 | The above, plus the supplier's GST/HST registration number and either the tax amount or a statement that tax is included, with the tax rate |
| $500 or more | The above, plus the buyer's name, the terms of payment and a description of each supply sufficient to identify it |
This generator has no field for a registration number. If you are a registrant, type it into the business name line or the notes (for example "GST/HST 123456789 RT0001"). Otherwise a business customer with a purchase over $100 may be unable to use your receipt. Customers who are not registrants, and ordinary consumers, do not claim input tax credits and need less.
Keep your own copy
The Canada Revenue Agency lists sales invoices, purchase receipts, cash register slips and credit card receipts among the records a business has to keep, and says that generally you must keep required records and supporting documents for six years from the end of the last tax year they relate to. A receipt you issue is part of your sales record, so keep the PDF and the number sequence. Gaps in your numbering are easy to explain with a log, and harder to explain without one.
Receipts for rent
If you rent out a home in Ontario, the Residential Tenancies Act, 2006 says a landlord must give a tenant, free of charge and on request, a receipt for any rent, rent deposit, arrears or other amount paid. This tool works for that: use one line per payment, put the rental unit address in the description, and note the month the rent covers.
What this tool is not for
It documents sales that happened. It is not a random receipt generator and it should not be used to make up purchases, to pad an expense claim or to give a customer a receipt for money you did not receive. A fabricated receipt can be fraud or tax evasion, and the PDF carries no verification of its own. It is also not a point-of-sale system: there is no inventory, no card processing and no sequential numbering enforced for you.

Frequently asked questions
What must a receipt include?
At minimum the date, who sold, who bought, what was sold and the amount paid. For a business buyer to claim GST/HST input tax credits, the regulations add the supplier's registration number once the total reaches $100, and the buyer's name, payment terms and a full description at $500 or more. Add the payment method yourself in the notes.
Can I generate a receipt online for free and use it as proof of payment?
Yes, as long as it records a real payment. A receipt is simply your written record that you received money. It is stronger when it matches your bank record and your own sales log, because the PDF itself has no signature or verification.
Does the receipt generator add GST or HST automatically?
It applies the single tax rate you type, which is pre-set to 13 percent, to the subtotal after any discount. It does not look up your province or decide whether an item is exempt. Set the rate to zero if you are not a GST/HST registrant.
How do I show that a receipt has been paid?
Write it in the notes, for example "Paid in full by credit card, ref 48213". The page has no separate payment-method or paid-date field, and the default note about payment due in 30 days should be removed so the PDF does not look like an unpaid invoice.
How long should I keep receipts I issue?
The Canada Revenue Agency says that generally you must keep required records and supporting documents for six years from the end of the last tax year they relate to. Keep the PDF with the matching bank deposit.
Why did my line show a much smaller price than I typed?
A comma in the number. The page reads "1,200" as 1. Type 1200 and use a full stop for cents.
Is a landlord required to give a receipt for rent?
In Ontario, section 109 of the Residential Tenancies Act, 2006 requires a landlord to give a tenant a receipt, free of charge, for rent or any other amount paid, if the tenant asks. Other provinces have their own rules.
Can I add a logo or a signature to the receipt?
Not in this version. The form has no logo upload or signature field, so the PDF carries your business name, address, email and phone as text. If you need a signature, print the PDF and sign it, or use the sign PDF tool on the saved file.
